48-HOUR LESSON CHANGE/CANCELLATION POLICY

If you end up having to cancel a lesson or need to make any changes to your scheduled time, please let us know at least 48-hours in advance via email raya@timwelchvocalstudio.com, text or call/leave a message at (973) 996-8523 or you may cancel your lesson directly via the STUDENT PORTAL.

Clients are charged the full lesson fee for cancellations made with less than 48-hours notice.

Students will be expected to arrive on time. If delayed, please text your ETA to your instructor. To make sure we are accommodating all schedules, lessons will end at designated time, regardless of arrival. In the case of a missed lesson, your time will be forfeited. If the instructor is running late, you will receive your full lesson time.

MAKE-UP LESSONS

If you cancel 48 hours before your scheduled lesson, we will work to reschedule it before the end of the month. If we are not able to reschedule before the end of the month, we will roll the lesson over for the next month.


CANCELLATION BY THE TEACHER

Lessons cancelled/rescheduled by the teacher will be re-arranged at a time mutual to both parties. We will give as much notice as possible in the event this occurs.

CORRESPONDENCE

We ask that you record any questions and concerns you have throughout the week to discuss at your voice lessons. Your instructor is available via email throughout the week to answer any basic questions.

All scheduling and billing-related questions should be directed to our scheduling coordinator via email raya@timwelchvocalstudio.com. Emails will be responded to within 24 hours. If you have any pressing questions or concerns, please send a text message or leave a voicemail to the studio number 973-996-8523 and we will get back to you ASAP.

BILLING

We bill upfront, on a monthly basis. The charges you will see on your invoice include all the lessons you scheduled for the month (including the upcoming lessons).

We email invoices towards the beginning of each month, due 5 days after receipt. You will also receive a text notification. The day after the due date, you will receive a payment reminder with a notice that your invoice is overdue.

If you cancel 48 hours before your scheduled lesson, we will work to reschedule it before the end of the month. If we are not able to reschedule before the end of the month, we will roll the lesson over for the next month.

IMPORTANT NOTE: If there is an outstanding balance by the end of the month, we will not be able to schedule more lessons until the total invoice amount has been settled.

CREDIT CARD ON FILE

All customers of Tim Welch Vocal Studio are required to keep a credit card on file that will be automatically charged for past-due balances. You will be notified before any charges are made to your card.

PAYMENTS ACCEPTED

·         Online payment using Credit/Debit card – please use the “Click here to pay Online” button which can be found in your invoice. Note: Payment using Credit or Debit cards will incur 2.9% transaction fee.

·         Online payment using Bank Transfer – there are no transaction fees when using this payment method. Bank accounts need to be verified before it can be used. For complete info on how to set this up, please see this link.

·        Check payments - We encourage everyone to please utilize our online payment methods to ensure timely recording of payment. Should you still wish to pay using check: The check is payable to "Tim Welch Vocal Studio" and should be mailed or dropped off to Mutlu at the following address: Mutlu Bascillar, 76 Maplewood Ave., Maplewood, NJ 07040

NOTE: We ALWAYS send a receipt via email for all payments. If you paid online or sent us a check, and didn't receive a receipt, please let me know ASAP.

 

STUDENT PORTAL

You will receive logins to the student portal where you can view the schedule, invoices, studio news, etc. as well as add a bank account/credit card and pay your invoices.

EMAIL/SMS REMINDERS

We will be sending email and/or SMS reminders 72-hours before each lesson.

SOCIAL MEDIA

If you're not comfortable having your photos or videos posted on our Instagram or Facebook pages, just let us know. Please note though that we will only post photos and videos that represent the students in the highest light.

RECORDING OF LESSONS

Some lessons may be recorded for quality assurance purposes. This is for TWVS use only and will not be shared publicly.
